Trigger
Headway posted a Design Director, Provider Experience role on or around June 4, 2026 (search "Design Director, Provider Experience" on Headway's careers page). Day 35. Confidence: high on the mandate. Moderate on the buyer. Unresolved on reporting line.
Window
Day 35 is the urgency band. A parallel Design Director, Core Insurance & Design Systems posting plus active staff and senior IC design roles signal a coordinated design-function scale, not a single backfill. That cluster buys you a few extra days. But 35 days with no named hiring manager means either the committee is still forming or the first pipeline disappointed and revised language is coming. Confirm the buyer and get outreach in within seven days, before this posting closes or resets.
What This Trigger Means for the Design Org
Headway expanded its free EHR in September 2025 into an AI-assisted platform: AI-generated progress notes from session summaries, integrated telehealth, scheduling. Providers review and approve before submission. That is automation inside the clinical record.
Then in March 2026, Headway's tech blog disclosed that their ML billing model handles 70% of appointment volume with a 40% reduction in billing interpretation errors. The blog says it plainly: wrong estimates "can break trust and delay or worsen the care experience."
Read those signals together. Headway has already deployed AI into the provider workflow. The posting asks for someone to own AI-native features across clinical documentation, billing, insurance verification, and scheduling. They need a design leader who can own the trust layer around automation that is already live. The whole mandate comes down to making AI-assisted billing and documentation trustworthy enough that a solo-practice therapist stakes their income on it.
Your Angle
Lead with Thermo Fisher and Red Cross. Both are exception-first design in regulated, multi-stakeholder operations where errors carry direct financial and human consequences. Thermo Fisher: 197 orders, surface the 3 that matter, $20M+ margin recovered annually across 6 pharma partners and 9 sites. Red Cross: 6 legacy systems consolidated into one platform under federal oversight, $847K disbursed in the first two weeks, zero retraining for surge workers. These prove you have designed for Headway's exact operating reality: high-volume workflows where the system must surface the exception before it becomes a crisis.
Bridge with Agentic Labs. Carrier IQ (InsurTech quote automation in a regulated industry) shows you have built working agentic systems where automation meets compliance. Your trust essay's core framework applies directly here. The model delivers accuracy. The design layer around it delivers consistency. Headway's ML handles 70% of billing volume. The design problem is making the other 30% safe and making the provider's confidence in the 70% earned. Your five-handoffs framework maps to their progress-note workflow: AI generates, provider reviews, system submits. Watch → Verify → Delegate, already in their product.
Secondary: Allē. Headway is a two-sided marketplace. Allē's dual-surface redesign (30M consumer members + 40K provider practices, 3.2× redemption) proves you have redesigned both sides of a similar structure from a single strategic premise.
Who to Contact
Most likely buyer: Jake Poses, VP of Product. Confidence level: moderate. Headway's March 2025 leadership announcement says Poses oversees product, product design, and product marketing, reporting to CEO Andrew Adams. Approximately 16 months tenure. Previously led LinkedIn's core feed product (100M+ weekly users), founded Jumprope (acquired by LinkedIn 2021), built a 50-person product team at Thumbtack spanning PM, design, analytics, and product marketing.
Public fingerprint: Thin. No recent LinkedIn posts, conference talks, or design-hiring statements found in this pass. The usable hook is Headway's own product language, particularly the billing ML blog, not Poses's personal publishing.
Warm intro path: Headway's investors include Accel, Thrive Capital, GV, Spark Capital, a16z, and Forerunner. Check your network for routes into any of these. No confirmed overlap with your portfolio contexts.
Channel: Cold LinkedIn DM to Poses as primary. Warm intro through VC route if one surfaces.
No VP Design, Head of Design, or CDO was found at Headway through blog author pages, design community directories, About/Team page, or LinkedIn. DM Poses or back-channel through a VC contact: "Does this role report into product or into a design leader?" The answer changes your positioning. Reporting to a product VP means you are building design's strategic seat. Reporting to a design leader means you are scaling an existing function. Each requires a different story and a different lead case.
Outreach Messages
Warm (assumes mutual connection or VC intro):
"Hi Jake — [Name] suggested I reach out. Headway's billing ML work caught my eye, particularly the finding that the model now handles 70% of appointment volume. That means the design problem lives in the 30% it can't handle confidently, and in making providers trust the 70% it does. That's the exact class of problem I've spent years solving. At Thermo Fisher, I built a supply-chain platform for 6 pharma partners where the core design challenge was surfacing the 3 exceptions out of 197 orders before they hit the delivery gate, recovering $20M+ in margin annually. I'd welcome 20 minutes to discuss the Design Director, Provider Experience role. Portfolio: junochen.com"
Cold:
"Hi Jake — Headway's tech blog on billing ML caught my attention: 'wrong estimates can break trust and delay or worsen the care experience.' That's the design problem I've spent years solving in regulated operations. At American Red Cross, I consolidated 6 legacy systems into one platform under federal oversight — $847K disbursed in the first 2 weeks, zero retraining for surge workers. At Thermo Fisher, I designed an exception-first supply chain system across 6 pharma partners and 9 sites where catching a problem a week early was 3-5× cheaper than catching it at the delivery gate. Both required making high-stakes automation trustworthy at the moment a human has to act on what the system produced. I'd love to discuss the Design Director, Provider Experience role. What not to say:
- Do not lead with "AI experience" generically. Headway has AI in production already. They need someone who can design the trust layer around it.
- Do not lead with the mental-health mission. Every candidate will. Your differentiator is regulated-workflow-meets-AI capability.
The Non-Obvious Thing
Headway's own blog gives you the exam answers. Their billing ML post says payer eligibility data is "structured, free-text-heavy, ambiguous, and hard to interpret reliably with rules alone," and that their model now handles 70% of appointment volume. So 30% still falls outside the model's confidence threshold. The design director who wins this role will be the one who talks about designing for that 30%: the exceptions, the edge cases where the AI is uncertain and a solo-practice therapist needs to know it before they submit a claim that determines whether they get paid this month. Most competing candidates will pitch AI fluency. You can pitch exception-first design for the specific failure modes Headway has already described in public.
Warning Signs
No confirmable Glassdoor or Blind pattern on design culture. One signal worth monitoring: Headway's careers page includes the cultural principle "Act like a Headway owner before a functional owner." In a company where design reports into product with no independent design executive, that language can mean design advocacy gets reframed as parochialism. Not a dealbreaker. A question to ask in the room.
- Headway's CHART engineering team: A current Engineering Manager, Provider posting describes CHART as one of Headway's most AI-intensive product areas, including session transcript-to-note generation and AI-powered clinical summaries — language that sharpens your understanding of what "AI-assisted documentation" means operationally in this role.
- Parallel design director search: Headway's careers page also lists a Design Director, Core Insurance & Design Systems role responsible for foundational experiences, design systems, and content design — confirming the design function is scaling across multiple director-level hires simultaneously.
- Ramp as the AI-native counterpart: Ramp's Director, Product Design posting (day ~31) names tools, agents, memory, and shipping PRs as the design mandate, and Diego Zaks is publicly identified as VP Design — a cleaner buyer route if you want to run a parallel probe with a confirmed decision-maker.
- Gusto's regulated-AI language: Gusto's Senior Product Design Manager, Payroll posting (updated June 25) describes AI-native design practice in payroll trust and compliance-adjacent complexity — useful vocabulary for calibrating how growth-stage regulated platforms talk about the same trust-infrastructure problem Headway is solving.
